Position Summary
Join our Flight Management team, where agility, teamwork, and customer focus drive everything we do. In this role, you’ll be a key player in supporting our Trip Services team during overnight hours, ensuring seamless private aviation experiences for our clients. With a strong sense of urgency, you’ll handle high-priority, time-sensitive requests, from last-minute flight adjustments to coordinating with crew, vendors, and internal departments.
You’ll excel in this role if you thrive in a fast-paced, high-volume environment, managing constant communication via email and phone with precision and professionalism. A background in high-touch customer service is essential, as is the ability to think quickly, adapt, and make sound decisions under pressure.
This hybrid position requires frequent in-office presence for training and leadership collaboration. A flexible schedule is essential, following a 5x8 or 4x10 overnight shift based on operational needs. Given the nature of this role, we’re seeking a candidate based near our Scottsdale, AZ location at the Scottsdale Airpark.
The posted salary ranges will default to that of your regional location and will not include any premiums. The baseline range for this non-exempt position is $33 - $36 per hour, which is equivalent to $70,000 - $76,000 annually.
Your Profile
You excel in high-volume, detail-driven environments, where precision and professionalism are essential. You’re adept at managing multiple tasks simultaneously—composing a polished email, fielding a call, updating flight details, and collaborating with your team—all while keeping urgent priorities on track. You remain calm under pressure and approach every interaction with a high level of service and professionalism.
⎯ 3-5 years of experience in a coordination or operations role within luxury hospitality, high-end client services, or another fast-paced, customer-facing industry that requires managing complex logistics and urgent requests.
⎯ A background in customer-centric service, with formal training or experience in delivering high-touch support.
⎯ Expert-level email etiquette and professional communication skills, with proficiency in Microsoft Office and the ability to adapt to internal systems quickly.
⎯ The ability to balance multiple priorities seamlessly, keeping accuracy and efficiency at the forefront.
⎯ Experience handling urgent, time-sensitive requests with composure, discretion, and a solutions-oriented mindset.
⎯ A structured, process-driven approach with a keen eye for minute details and a commitment to getting things right the first time.
⎯ A team player who values accountability and flexibility, understanding how each action impacts the bigger picture.
⎯ Dispatch or flight coordination experience is highly valued—whether through past roles or certifications.

Your Role
As a Flight Management Representative, you play a pivotal role in ensuring seamless travel experiences for our clients. You’ll handle high-priority flight logistics with precision, urgency, and professionalism..
⎯ Plan and coordinate all aspects of domestic and international trips, including flight itineraries, FBO arrangements, and ground transportation.
⎯ Respond to urgent, real-time operational needs, making swift decisions to resolve last-minute changes and challenges.
⎯ Communicate effectively with clients, crew, vendors, and internal teams, ensuring all stakeholders are informed and aligned.
⎯ Assign and manage crew scheduling, ensuring compliance with company policies and federal regulations.
⎯ Oversee critical flight details, maintaining accuracy in trip documentation and operational systems.
⎯ Collaborate closely with internal teams to ensure smooth trip execution while upholding the highest service standards.
⎯ Provide seamless shift handovers, ensuring continuity and efficiency across the team.
