Position Summary
The IT Project Coordinator supports IT Project Managers and Senior IT Project Managers in the delivery of IT projects. This role helps ensure projects are well organised, on track, and properly documented from start to finish.
You will coordinate project activities, track progress, manage documentation, and support communication between IT teams, business stakeholders, and external vendors. The role also provides administrative support to the IT Project Management Office (PMO).
This position plays an important part in supporting digital transformation initiatives across Jet Aviation, working closely with cross-functional teams to help deliver IT projects successfully.
Key Responsibilities
- Support the creation and maintenance of project plans, schedules, and documentation
- Organise project meetings, prepare agendas, take minutes, and track action items
- Update project status reports and communicate progress to stakeholders
- Track risks and issues and escalate where needed
- Support coordination between IT teams, business users, and external vendors
- Assist with resource coordination and project-related procurement activities
- Coordinate testing activities, including test scheduling and defect tracking
- Support preparation of project reports and presentations for governance forums
- Maintain organised project documentation and ensure compliance with standards
- Support project transition to operational teams and post-implementation reviews
- Assist IT PMO with administrative tasks as required
- Represent Jet Aviation internally and externally with industry groups, regulators, and the General Dynamics network
Minimum Requirements
- Associate degree or equivalent in Business, IT, or related field
- 1–3 years of experience in IT project coordination or project support
- Experience using tools such as Smartsheet, Microsoft Project, or similar
- Strong organisational and documentation skills
- Good written and verbal communication skills
- Ability to manage multiple tasks and priorities in a team environment
Desired Attributes
- Basic understanding of IT projects such as infrastructure, business applications, or digital transformation
- Familiarity with project management methods (Agile or Waterfall)
- Proactive, organised, and detail-oriented
- Strong interpersonal skills and ability to work with diverse teams
- Experience in the aviation industry is an advantage
- Good planning and time management skills
