Position Summary
As Crew / Training Administrator, you will play a vital role in supporting the Flight Operations Department by coordinating and maintaining flight crew training activities. This position requires a proactive and detail-oriented professional who thrives in a multicultural and dynamic environment. You will liaise with flight crew members worldwide and work closely with various internal departments and subcontracted training organizations to ensure training compliance and smooth operational readiness.
Main Responsibilities
- Coordinate and schedule training events for flight crew, including simulator sessions, classroom training, and regulatory recurrent programs
- Maintain accurate records of crew training, licenses, validations, and certifications in the relevant operational systems
- Monitor expiry dates for all required training and certifications, and notify crew members proactively
- Support the onboarding process by coordinating initial training requirements for new hires and contractors
- Assist in the preparation and distribution of training materials and documentation
- Manage invoices and training-related costs in collaboration with the Finance team
- Serve as the point of contact for training-related inquiries from crew members
- Support ad-hoc administrative and coordination tasks within the training department
- Provide cross-functional support for crew coordination and crew planning during time of need
Minimum Requirements
- Proven experience in administrative or training coordination roles; aviation experience is a plus
- Strong organizational skills with attention to detail and the ability to manage multiple priorities
- Proficient in MS Office and experienced with database and scheduling systems
- Fluent in English (written and spoken); German is an advantage
- Excellent interpersonal and communication skills
- A proactive team player with the ability to work independently and maintain high levels of discretion
- Results-driven with a strong sense of responsibility and accountability
