Summary:
As a Flight Operations Administrator supporting a busy multi-national corporation’s part 91 Flight Department , you will assist the Director of Flight Operations by coordinating and administering several flight department functions as the main point of contact for employees. You will assist in scheduling and coordinating aircraft and flight crews within established Federal Aviation Administration (FAA) regulations and company policies and procedures; track and prepare monthly reports for management; and provide support on an as needed basis to the Director, Flight Operations.
Responsibilities:
- Maintain accurate department accounting and budgeting which includes collecting, tracking and paying incoming department bills;
- Coordinate department travel and reservations in accordance with the Company policies and procedures;
- Compile and submit required monthly, quarterly, and yearly management reports inclusive of travel histories; aircraft usage; etc.
- Monitor the progress of all dispatched flight operations away from home base and make all necessary changes or adjustments as required;
- Assist in monitoring flight crew expenses and other budgets for assigned areas to ensure expenses are cost efficient and within budgetary limitations. Oversee billing and invoicing as required;
- Plan, assign, and review work of administrative support staff; ensure established procedures are followed in carrying out assigned duties;
- Regular contact with senior management, federal and international agencies to schedule and coordinate flight details and exchange job related information;
- In the absence of the Aircraft Dispatcher, be prepared to handle the duties of that position to the extent that the department can provide seamless service until the Aircraft Dispatcher returns;
- Maintain relations with ProJet in support of the annual Aviation Education and Career Expo event; and
- Work with Jet Professionals to provide staff augmentation as needed.
Required Education & Training Requirements:
- HS diploma required. AS/BS/BA in Human Resources, Business Administration, or related field preferred.
Experience Requirements:
- Minimum of 8 years of experience in providing support to executive level position required.

- Must have a proven ability to operate independently, apply sound judgment, and maintain strict confidentiality.
- Must have excellent oral, written and public speaking skills and have exceptional detail and organizational skills.
- Must have financial acumen, ability to review and interpret spreadsheets
- Must be able to interact comfortably with all levels of staff as well as outside contractors, vendors and suppliers.
- Skilled at organizing large meetings and professional social events.
