Position Summary

This role will be responsible for customer account reconciliation, maintaining FBO software systems, Credit card reconciliation, and other expense and administrative functions. This individual will provide best-in-class customer service, is thorough, and is a self-starter who can work both independently and with a team. This individual will be expected to collaborate, advocate best practices, and support peers where needed. Working quickly while maintaining attention to detail and utilizing problem-solving and critical thinking skills to support business objectives will be keys to success in this role.

Minimum Requirements

  • 1-2 years of experience in an administrative role
  • Proficient use of Microsoft 365 tools including MS Word and Excel
  • Ability to read and communicate effectively in English

Main Responsibilities

  •  Support the FBO customer service team with organizing daily customer transactions
  • Perform FBO nightly close out activity to complete daily front-desk transactions
  • Create PO’s for FBO fuel deliveries and receive goods in SAP system
  • Process various invoices and credit transactions for both domestic and international activity
  • Support FBO operations with processing of third-party vendor invoices
  • Prepare fuel inventory reconciliations
  • Prepare monthly FBO tenant invoices for distribution
  • Maintain regular communication with internal and external customers, troubleshooting and providing support
  • Review monthly customer account statements to prepare account reconciliations
  • Review FBO credit card transactions and complete corresponding reconciliations
  • Prepare and distribute daily US FBO fuel report
  • Prepare other reports as assigned
  • The amount of travel is expected to be less than 5%

  • Experience in a travel & expense system, finance or similar business function is preferred
  • Familiarity with foreign currency transactions preferred
  • Able to respond to multiple high-priority requests concurrently and keep all stakeholders updated of status
